Add a location

A location is a place where patients are actually seen. One clinic can have
several. Add them before you add services, because a service has to name the
locations where it may be offered.

Who can do this: the clinic admin.

Steps

  1. Open Clinic settings > Locations.

  2. Click Add location.

  3. Enter the name, address line 1 and country. These three are
    required.

  4. Add the rest if you have it: address line 2, postal code, region, city,
    phone, email, notes.

  5. Save.

What you should see: the location in the Active list.

What a location is not

It is an address plus a set of rules. It is not where you attach staff or
services:

  • Which services may run at a site is set on the service.

  • Who actually works there, doing what and when, comes from that person's
    working hours.

That is why a location has no staff or services tab. There is one place each of
those links is made, so the two can never disagree.

Currency and time zone are not location fields

They are set once for the whole clinic under Clinic settings > General, and a
location always inherits them. If a site genuinely works in another currency,
that is a separate clinic, not a location of this one.

Rules for one site only

The clinic sets its normal booking and fee rules once. A location can differ.

Open the location and each of these five shows a use clinic default
checkbox with the inherited value beside it:

  • minimum booking notice

  • maximum booking days ahead

  • cancellation window

  • no-show fee

  • visit fee

Leave the box ticked to follow the clinic. Untick it to type this site's own
value. A checkbox is used rather than an empty field because an empty field
cannot tell "follow the clinic" apart from "charge nothing".

What you should see: in the reading view, an inherited number carries a quiet
clinic default tag. The site's own number carries no tag.

Closing a site

Use Mark inactive from the row's ... menu.

  • The site leaves the day-to-day list, keeps its history and its configuration,
    and stops being bookable.

  • Existing future bookings are not moved for you. The confirmation says so,
and those bookings are handled from the Home page.

  • Remove location deletes it permanently and is the wrong tool for a site
that is simply closed for now. If the site has upcoming bookings you have to
    deal with those first.

Where to go next
