Add a department

A department is a clinic-wide grouping, for example General Medicine or
Radiology. Every service belongs to exactly one, so departments come before
services.

Who can do this: the clinic admin.

Steps

  1. Open Departments.

  2. Click Add department.

  3. Give it a name.

  4. Save.

What you should see: the department in the list with its own colour.

Why the colour matters

Each department gets a colour, and that colour is used everywhere the department
appears: on service rows, on staff profiles, and on booked appointments in
Schedule. It is how somebody recognises at a glance what kind of appointment
they are looking at.

Colour is never the only signal. Every place that uses it also says in words
what it is, so nothing is lost if two colours look similar on a cheap screen.

Departments are clinic-wide

A department is not tied to a location. A service is offered at particular
locations; the department it belongs to is the same everywhere.

Departments also decide who can do what

A staff member's department is what limits the services you can give them. When
you add somebody to Medical staff, you pick the department first and the service
list then offers only that department's services.

So keep the list short and meaningful. A department per speciality works. A
department per room does not.

What the department page shows

Open a department and there are two tabs, both read-only:

  • the services in it,

  • the staff whose profile carries it. On some clinics this tab is still
labelled Employees; it is the same tab.

Nothing is added from here. A service gets its department on the service, and a
person gets theirs on their staff profile.

You cannot remove a department that still has services

The removal is blocked and tells you how many services belong to it. Inactive
services count too: an inactive service still has history and still needs a
department.

To get out of it, open those services and give them a different department, or
remove them. A service's department stays editable after it is created, exactly
so this is possible.

A department with no services can be removed normally. Staff linked to it simply
lose that one association; their other departments and their services are
untouched.

Where to go next

  • Add a service

  • Add a staff member and link them to services
