Add a service

A service is what a patient books: a consultation, an X-ray, a vaccination.

Who can do this: the clinic admin.

Before you start: the department and the locations this service belongs to
have to exist already.

Steps

  1. Open Services and click Add service.

  2. Enter the name.

  3. Pick the department.

  4. Set the duration.

  5. Pick the locations where this service may be offered.

  6. Save.

What you should see: the service in the list with its department beside it, and
a booking state that is probably not yet Bookable. That is normal for a new
service.

Duration decides the appointment length

The duration is what Schedule uses to divide a person's working hours into
times you can click. A 30 minute service and a 15 minute service produce
different times out of the same hours.

Duration goes in five-minute steps, whether you type it or use the arrows.
An off-step duration produces times that do not line up with the rest of the day.

Why a new service is not bookable yet

Two things have to be true, and the system works out the second one for itself:

  1. You want it bookable. That is the Available to book toggle on the
service. Nothing is bookable while it is off.

  2. Somebody is actually scheduled to do it. At least one active staff member
provides the service and has working hours for it.

The state on the service tells you which half is missing:

State

What it means

What to do

Bookable

Ready

Nothing

Needs staff

No active staff member provides it

Add this service to somebody's staff profile

No schedule

Somebody provides it, but has no hours for it

Give that person hours for this service

The Staff tab, and why it has no Add button

Open a service and the second tab lists the active staff who provide it, with
their locations and whether hours exist. On some clinics this tab is still
labelled Doctors; it is the same tab, and the label is being changed because
not everybody who delivers a service is a doctor.

There is deliberately no way to add a person from here. The link between a person
and a service is made on the person's staff profile, and there is only one
place it is made so the two lists cannot drift apart.

Locations: what the service says, and what the hours say

The service says where it may be offered. The hours say where somebody
actually does it. A time only appears where both agree, and a person can only
be scheduled for a service at a location the service names.

Taking a service out of use

Use Mark inactive. The confirmation tells you how many future bookings will
be cancelled and that each patient gets a notice, and it asks you to tick that
you understand. An inactive service keeps its history and can be made active
again.

Where to go next

  • Add a staff member and link them to services

  • Why is there no free time for this service?
