Getting started for the front desk

Your day happens on two screens. Home is the desk. Schedule is the
clinic's day. Everything else you will open occasionally.

What you can do

Reception has full access to the working part of the product: Schedule, Patients,
Services and Medical staff. You will not see anything under Clinic settings, and
that is deliberate rather than a missing permission. If you need something
changed there, an admin does it.

The shape of a day

When you arrive: open Home.

  • The day line tells you how many appointments there are.

  • Up next lists them in time order. The next one to deal with is tinted.

  • Fix today lists what needs attention, worst first.

As patients arrive: stay on Home.

  • Click the patient's name to check you have the right person in front of you.

  • Click Check in when they arrive. Use the small caret beside it for a
no-show, or for a patient who calls off on the day.

When somebody wants an appointment: go to Schedule.

  • If they want a particular person on a particular day, click a free time in that
    column.

  • If they just want the earliest appointment, use + Add booking and let the
    search find it.

  • If they are new to the clinic, create them inside the booking form. First name,
last name and phone are all you need.

When somebody calls off before their day: open the booking in Schedule and
cancel it. Cancelling cannot be undone, and cancellation messages are not being
sent yet, so tell the patient yourself. A new booking does send a confirmation.

The two things new receptionists ask first

"There is no free time and I do not understand why." Free times are worked
out from four things: the person's hours, minus absences, for a service they
provide, at a location where it is offered. One of the four is missing. There is
a whole article on it.

"A menu item my colleague has is missing for me." Your role does not include
it. Nothing is broken.

Read these five, in this order

  1. Find your way around Schedule

  2. Book an appointment

  3. Mark a patient as arrived, or a no-show

  4. What the Home page shows

  5. Why is there no free time for this service?
