Give a staff member working hours

Hours are what turn a staff member into bookable time. Until they exist,
Schedule has nothing to show for that person.

Who can do this: the clinic admin or reception. The doctor does not do it
themselves, and many doctors have no login at all.

Before you start: the person must already have their services on their
profile.

Set up the first schedule

  1. Open Medical staff and click the person.

  2. Open the Schedule tab. If they have no hours yet, you see No schedule
    yet
    .

  3. Click Set up schedule. Enter a start date. Leave the end date empty
    for an open-ended schedule.

  4. You now have a grid of the person's services down the side and the seven
weekdays across the top. Every service starts switched off.

  5. Click the + in a day cell and add a time block: the times, and the
    location.

  6. Repeat for each service and day this person works.

What you should see: the service switches itself on as soon as its first time
block exists. Back in the staff list, the Schedule column shows the person's
week: a blue letter for each weekday that has hours. If the schedule starts in
the future, the letters are outlined instead of filled and the Schedule
notes
column beside it reads the start date, for example Starts 17/10.

Hours belong to a service, not to the person

A doctor does not have one blanket timetable. Each service is scheduled
separately, with its own days, times and location. The same person can do
consultations at one site on Mondays and something else at another site on
Thursdays. All seven days are available, weekends included.

A service switches off again if you remove its last time block.

Changing hours later

Hours are kept as dated versions, so history stays true. Changing them is its own
article: Change someone's hours from a date.

Holidays and days away

Do not use this tab for absences. Use the Out of office tab on the same
profile.

Where to go next

  • Change someone's hours from a date

  • Book an appointment

  • Why is there no free time for this service?
